Email & Notifications

There are several different areas where Community Admin can adjust email settings within the IdeaScale community. These settings and tools can be leveraged for customizing and scheduling email communications that are sent from the community to end-users.

The below-mentioned settings fall under the Basic section of Emails and Notification Setting.



General Email Settings
Entails three major components:

  • Who the email is being sent from 

  • SMTP setup

  • Banner for branding purposes

DKIM Setting
DomainKeys Identified Mail (DKIM) is an email authentication protocol, designed to filter out email spoofing. The protocol allows an email exchange to verify that the sender (from the address) of the email is indeed the sender. To achieve this, two corresponding keys are generated, a private key used for signing emails, and a public key used by email exchanges to verify the signature. Public keys are stored in public DNS and are looked up by all who encounter a corresponding DKIM signature in the email header.


Email Deliver Reports
This displays the deliverability report for a given email configuration in a community.

Email Transport Log
Email Transport Log is enabled in all communities, hence all email activity generated by the system is logged and registered under the email transportation log. So any activity, that will generate an email, will generate a log entry.

Digest Emails
Digest emails section helps in customizing and scheduling all the digest email notifications sent to the community members regarding new activities taking place within the community.

Idea Sharing Email Logs
Idea sharing Email logs shows the details about email send out to registered users in the community via Idea share option. It also shows logs for idea share emails sent to people outside IdeaScale in Public communities.

The log shows Date, From email address, Subject, Sent email count and Bounce count.


Default Notification Preferences
The community administrator can customize the following notifications as default for all the new users who sign up for the community after customizing this section. The member may change this notification for their profile after joining the community.

Email Subscription / Notification
The number of members subscribed to various email notifications within the community is displayed in this section.

Send Manual Notification
Clicking on this link will send a weekly digest for a given number of ideas and comments to all the members who have subscribed to it.

Note: In case of a week with no idea or comment submitted in the community, there will be no weekly digest triggered.


Idea Inactivity Email

 Community Administrators can set up rules that would trigger automated Idea Inactivity Emails which are sent to selected members if ideas have not received the tag, stage change, moderator comments, or linked ideas in a specific number of days.

Broadcast email 
The broadcast email tool enables community administrators to create and dispatch personalized email messages directly to community members within the IdeaScale platform. This feature allows admins to keep users informed with updates, share instructions on utilizing the community effectively, and communicate any other important information.
