Assigning Roles and Permissions: Empowering Members with Access Control in IdeaScale

With IdeaScale, Workspace administrators can assign specific roles to members depending on the access level to be given and the tasks required to perform. This allows for easy management and organization.

Below is a list of the various roles and permission sets associated with them.

Workspace Owner & Workspace Administrator

Workspace Owner

  • Is the default Workspace Admin 

A Workspace Owner & Workspace Administrator has the following permissions:

  • Can create new communities 

  • Can access Billing & Subscription
  • Can Manage Workspaces and has supreme authority and control of all global system settings

  • Can add or ban any member

  • Can assign/unassign additional Workspace Administrator

  • Has access to Manage Workspace settings
  • Auto-assigned as Community admin and moderators to all communities they are part of within the Workspace.
  • Auto-assigned as Workspace Translation Moderator
  • Can create Groups on Workspace level

  • Can assign Groups and members to communities

  • Can send message to members
  • Can generate all reports from Workspace Reporting & Analysis section

  • Can remove members from the Leaderboard

  • Can unlock locked members 

Community Administrator (If also a Community Moderator)

A Community Administrator who is also a Community Moderator have the following permissions:

  • Can add or ban any member within the community
  • Can assign/unassign additional Community Administrator and Moderators to a community

  • Can create Community level Groups
  • Can email idea author

  • Can submit private comments

  • Can pin comments

  • Can generate all reports from the Community Reporting & Analysis section

  • Can remove Community administrators from the Leaderboard

  • Can submit an idea on behalf of other members

  • Can add idea co-submitter

A Community Administrator who is not a Community Moderator has the following restrictions:

  • Can not have moderation rights or access to Incoming Moderation and Idea Portfolio

  • Can not email idea author


Campaign Administrator

Campaign Administrators have the following permissions:

  • Can edit, access, and manage the campaign settings they are assigned as a campaign administrator

  • Can see the private ideas of the campaign they are assigned to

Campaign Administrators have the following restrictions:

  • Can not launch the campaign

  • Can not email idea author


Campaign Group Administrator

Campaign Group Administrators have the following permissions:

  • Can edit, access, and manage all the campaigns within their assigned campaign group

  • Can access Community Reporting and Analysis (Engage, Outcomes, Campaign Report, Export Data)

  • Can export reports for Idea Data, Idea Data with Comments and Tags, Top Ideas, Comments, Idea Votes, Idea Tags on a Community level

  • Can see private ideas within their assigned campaign group

Campaign Group Administrators have the following restrictions:

  • Can not launch the campaign

  • Can not email idea author


Custom Admin

Custom Admins have the following permissions:

  • Can add idea co-submitter

  • Can access assigned specific features 

  • Can launch the campaign if given access in campaign settings

  • Can submit ideas on behalf of members (if the "custom admins may submit ideas on behalf of users" switch is enabled)

  • Can unassign campaign sponsor from campaign settings (when permitted)

Custom Admins have the following restrictions:

  • Can not assign community moderator/ administrator, campaign moderator/ campaign sponsor

  • Can not migrate data

  • Can not erase community data

  • Does not have access to Incoming Moderation and Idea Portfolio

  • Can not access GDPR settings


Community Moderator

Community Moderators have the following permissions:

  • Have moderation rights (can access Incoming Moderation and Idea Portfolio)

  • Can approve member/idea/ comment

  • Can edit all ideas

  • Can link/merge all ideas

  • Can move all ideas into different campaigns

  • Can moderate all ideas

  • Can assign idea owner

  • Can email idea author

  • Can privately comment

  • Can pin comments

  • Can add idea co-submitter
  • Can generate reports from Reporting and Analysis

Community Moderators have the following restrictions:

  • Can not access the community global settings

  • Can not access 'Export Data' and 'Data Export Log'


Campaign Moderator

Campaign Moderators have the following permissions in the campaign(s) they are assigned as Moderator:

  • Can moderate the ideas/ comments

  • Can edit the ideas of the campaign(s)

  • Can pin comments

  • Can assign idea owner

  • Can add idea co-submitter

  • Can access Community Reporting and Analysis (Engage and Outcome settings only)

Campaign Group Administrators have the following restrictions:

  • Can not submit an idea on behalf of other members


Group Moderator

Group Moderators have the following permissions in the group(s) they are assigned as Moderator:

  • Can approve new ideas submitted by only those members who belong to the group(s)

  • Can edit the ideas submitted by the group members

  • Can add idea co-submitter

  • Can assign idea owner

  • Can email idea author

  • Can moderate the ideas submitted by the group members

Group Moderators have the following restrictions:

  • Can not see the private ideas submitted by group members


Custom Field Moderator

Custom Field Moderators have the following permissions:

  • Can moderate the idea with answers to specific custom field questions (only for Single choice and Multiple choice custom fields)

  • Can access Incoming Moderation and Idea Portfolio

  • Can see private idea if the specific custom field question is answered in the idea

  • Can assign idea owner

  • Can add idea co-submitter

  • Can email idea author

  • Can privately comment

  • Can pin the comment


Workspace Translation Moderator

Workspace Translation Moderators have the following permissions:

  • Can provide translations for admin-generated content such as custom field questions, Workspace name and Workspace Terms of Service

Community Translation Moderator

Translation Moderators have the following permissions:

  • Can review and verify machine-translated ideas and comments

  • Can provide translations for admin-generated content such as custom field questions, community, campaign titles, and descriptions

  • Can verify the language and input the translation 

Translation Moderators have the following restrictions:

  • Can not access any ideas, members, and comments for moderation


Campaign Sponsor

Campaign Sponsors have the following permissions:

Campaign sponsors are the owners of the campaign, they do not have any other rights to edit, access, and control campaign settings


Idea Owner

Idea Owners have the following permissions:

  • Can change the stage of the ideas they are assigned as idea owner

  • Can edit owned ideas


Idea Co-Submitter

Idea Co-Submitter has the following permissions:

  • Can edit ideas in drafts
  • Can edit ideas which they have co-submitted (only when an idea is in ideate stage)

  • Can email Idea Author

  • Can add labels
  • Can add tags
  • Can assign owners
  • Automatically follow the idea

  • Can leave an idea they are co-submitter of

Idea Co-Submitter has the following restrictions:

  • Can not edit the ideas except in ideate stage

  • Cannot change the stage of an idea

Note: Please ensure Disable Idea Edit by Submitter option is disabled in campaign settings.


Workspace Member

  • Can join public communities within the Workspace
  • Can accept or decline communities they are invited to
  • Request access to private communities visible to them

Community Member

  • Can vote, comment, submit ideas, or perform stage-related actions within the community.
