Bulk Upload Username

The feature is accessed from the Import tab under Members and applies only to members who have already joined the Workspace. An Excel file containing each member's email address and desired username is used to perform the updates in bulk.

Role Permissions

1. Workspace Administrator: Can perform the bulk username import and update the usernames of existing Workspace members using an Excel file uploaded from the Import tab.

File Format Requirements

The Excel sheet must be saved in .xls or .xlsx format. The sheet must contain two columns, in the following fixed order:

1. Email: The email address of the existing Workspace member.
2. Username: The new username to be assigned to the member.

Username Requirements

1. Length: Between 6 and 40 characters.
2. Allowed Characters: Lowercase letters (a-z), numbers, and periods only.

Import Process

1. Navigate to Members >> Workspace/Community >> Import tab >> Usernames.
2. Select the prepared Excel file and start the upload.
3. Once the upload starts, the message "Process for member username bulk upload started" appears.
4. The Workspace Administrator receives a confirmation email notification once the bulk username update process is complete.

Exceptions

1. Malicious Content Detected: If the uploaded file contains malicious content, a virus, or malware, an error is displayed and the upload fails.
   

Can usernames be updated for members who have not yet joined the Workspace?

No. The bulk username import process applies only to existing members who have already joined the Workspace.

What happens if the uploaded file contains a virus or malware?

The system displays an error and the upload fails; no usernames are updated.

What file formats are supported for the import?

Only .xls and .xlsx formats are supported.
