Labels FAQ Everything You Always Wanted To Know About Labels (But Were Afraid To Ask)

What are Labels?
Labels are small, color-coded markers that appear at the end of idea titles and comments, used to categorize, flag, or highlight ideas and comments for reference, search, and automation.

Labels are made up of System Labels, which are built into the platform, and Custom Labels, which are created and configured by the Community Administrator. Labels are visible in every view of an idea — Grid, List, and Idea Details — as well as in the Moderator Dashboard and Idea Management, and can be applied one at a time or, for Custom Labels, in bulk using Idea Management.


Role Permissions

  1. Community Administrator: Creates, edits, and configures Custom Labels — including the label name, color, translation, and which Community Members are authorized to add or remove each Custom Label — from the Customization section of Community Settings. Also adjusts the wording of the default Actionable Label, turns it off, and determines where Custom Labels can be applied.
  2. Community Moderator: Applies and removes Labels made available to Moderators, including the Actionable Label by default, across all idea views, the Moderator Dashboard, and Idea Management. Can apply a Custom Label to multiple ideas at once using Idea Management.
  3. Community Member: Applies and views Labels made available to Members on idea or comment at a time.

System Labels

System Labels are built into the platform and applied according to an idea's or comment's status, without requiring configuration. The complete list of System Labels is:

  1. Abuse
  2. Draft
  3. Duplicate
  4. Edited
  5. Implemented
  6. In Reserve
  7. Off Topic
  8. Pending
  9. Private
  10. Recycling Bin
  11. Selected
  12. Translated
  13. Unverified Translation

 

Note: System Labels are automatically translated. Custom Labels must be translated by the Community Administrator.


Custom Labels

Custom Labels are set up by the Community Administrator in the Customization section of Community Settings. Unlike Tags, which are open-ended, Custom Labels are defined in advance by the Community Administrator rather than created freely by Community Members.


Custom Label Fields

  1. Name: The label's display name, set by the Community Administrator. See Note below.
  2. Key: A unique identifier generated automatically by the system when the Name is entered.
  3. Color: The color assigned to the label, selected by the Community Administrator from a color palette.
  4. Who Can Add: The roles authorized to apply the Custom Label — Moderators, specific Groups, or All Community Members — set by the Community Administrator.
  5. Who Can Remove: The roles authorized to remove the Custom Label — Moderators, specific Groups, All Community Members, or only the Community Member who originally applied it — set by the Community Administrator.

Note: Custom Label names are limited to 22 characters.

Actionable Label

Actionable is a Custom Label included by default in every community and visible to all Community Members. It is used by Moderators to flag ideas that are quick wins or can be acted on immediately.

By default, Moderators are authorized to apply and remove the Actionable Label on the Idea Details, Grid, Compact, or List view. The Community Administrator can adjust the label's wording, its settings, or turn it off entirely.


Comment Labels

Comment Labels include the idea submitter, moderator, Private, Merged, and Owner Labels, along with Custom Labels. The Community Administrator determines where Custom Labels can be applied to comments — across all idea listings, during Idea Submission, or on Comments.


Automating Labels

Custom Labels can be applied automatically using the Automator Builder, which allows the Community Administrator to configure Label-related recipes. Applying a Custom Label — whether manually or through an automation recipe — can also trigger additional configurable actions.

Searching and Filtering by Labels

Selecting a clickable Label displays a list of every idea carrying that Label, similar to Tags. Only Labels configured as clickable support this behavior. Clickable System Labels can also be searched from Idea Management and the Moderator Dashboard.

Can an idea have more than one Label?

Yes. There is no cap on the number of Labels that can be associated with an idea.

How do Labels differ from Tags or moderator tags?

Labels have a lot in common with Tags, but the main difference is that Labels are set up by the Community Administrator and are not open-ended, while Tags can be created freely.

What are some examples of Custom Labels?

Common examples of Custom Labels include Idea Bank, Parking Lot, Featured, Moderator Pick, and Quick Win.
