IdeaScale Whiteboard December Release

We’re thrilled to announce the latest updates to IdeaScale Whiteboard! This release is all about enhancing the user experience and extending access to all users. Below are the key features to look forward to.

Expanded User Access

With this release, IdeaScale Whiteboard will be available to all IdeaScale users, accessible via the community-level app switcher. This broadened access will empower members across your organization to engage, collaborate, and participate in collaboration. Each board currently supports up to 10 collaborators working together simultaneously, with future updates planned to expand real-time collaboration capacity. All users can navigate to IdeaScale Whiteboard by using the App Switcher from within their Community.

Important Note:

  • Free Plan: Users can create one board.
  • Paid Plan: Users have unlimited access to create and edit boards.

Redesigned Board Interface

The whiteboard interface has been fully revamped for a more intuitive and engaging experience. Users can utilize the left sidebar for essential collaboration tools, including Sticky Notes, Shapes, Tasks, Drawing Tools, Import Options, and more. A floating edit toolbar appears when interacting with these elements, enabling quick customization of text and appearance. Experiment with different elements to bring your ideas to life!

The top right corner of each board now includes enhanced management options:

  • Collaborators Window: See who’s active on the board for real-time insights into collaboration.
  • Sharing Modal: Share your board with other users. The board owner can add users from their community or generate a shareable link to post within an idea or channel to spark collaboration.
  • Live Chat: Communicate instantly with collaborators, ask questions, or track updates.
  • Help Panel: Access collaboration tool shortcuts, descriptions, and re-engage with the tutorial as needed.

Enhanced Task Manager Interface

Alongside the updated board interface, the task management experience has been modernized for easier task creation, updating, and filtering. Task management is now specific to individual boards or accessible through the dashboard for a community-wide view.

Tasks include four main fields—Status, Assignee, Board, and Due Date—alongside title and description fields. While not all fields are mandatory, each is designed to streamline task tracking and assignment. Users with board edit access can create and update board-related tasks. Task statuses are fixed at five options for this release, but we’re planning to add custom statuses in the future.

Whiteboard Admin Controls

For greater oversight, Admin and Moderator roles now have access to admin controls in IdeaScale Whiteboard. Each Admin will have access complementary to their level of access within IdeaScale. For Custom Admins a new IdeaScale Whiteboard switch has been added to the custom admin settings, allowing organizations to grant Custom Admins the ability to perform administrative and moderator tasks specifically within IdeaScale Whiteboard. Here is a breakdown of each role and their corresponding access in IdeaScale Whiteboard

  • Workspace Owner > Full Access
  • Workspace Admin > Full Access
  • Community Owner > Full Access
  • Community Admin > Full Access
  • Community Moderator > Full Access
  • Custom Admin > Full Access (with Whiteboard switch enabled)
  • Campaign Admin > Limited Access (Admin privileges only on boards that have selected their campaign)
  • Campaign Group Admin > Limited Access (Admin privileges only on boards that have selected their campaign)
  • Campaign Moderator > Limited Access (Admin privileges only on boards that have selected their campaign)

Admins will be able to edit any boards within the community, regardless of individual board permissions, as well as manage associated tasks. This includes the ability to view and edit all boards in the community—even if they haven’t been individually added as collaborators on those boards. In the dashboard, admins can use the “Everything (admin)” filter to access and manage all boards, with options to adjust settings, change sharing permissions, edit content, or delete boards as needed. By using this filter, we hope to provide admins with the ability to access and edit all boards, but still have the ability to contribute collaboratively on some boards like a normal user.
