IdeaScale Whiteboard Free Tier Permissions

The IdeaScale Whiteboard Free Tier is available to all IdeaScale users upon launch. You can access IdeaScale Whiteboard from the profile drop down menu, which will take you to the whiteboard community dashboard. The community dashboard is shared with all members in the community and will have 3 free editable boards shared between the entire community. These boards can be accessed, edited, and deleted at the discretion of the community admin, but the editable boards cannot exceed 3 for a free community.

Upgrading to the unlimited version of IdeaScale Whiteboard will enable your community to access unlimited boards, filter boards based on community and campaign dashboards, change privacy settings, and access future whiteboard integrations within the IdeaScale platform. IdeaScale Whiteboard User Permissions


Within IdeaScale Whiteboard, there are multiple different levels of access that users can have to a given board. This article will help you understand what actions are available to each set of users. These users can be classified as:

Owner & Admin

Community Member

Guest

Board Owner

The board owner can access the full sharing and collaborative permissions on IdeaScale Whiteboard. These include:


  • Sharing: Can invite or delete any board members
  • Change Permissions: Can change link permissions and single user sharing permissions
  • Collaboration: Can collaborate fully on the board
    • Chat: Yes
    • Import/Export: Yes

Community Member

Community members are global admins, global moderators, and custom admins that are not the member who created the board. These members are able to collaborate fully when granted access in IdeaScale Whiteboard, but their sharing permissions are slightly different than the owners. Their permissions are unique depending on if they are granted Edit or View access. Below their permissions are listed out for both scenarios:

Community Member with Edit Access

  • Sharing: Can invite new board members via email or link
  • Change Permissions: Cannot change permissions for link or members
  • Collaboration: Can collaborate fully on the board
    • Chat: Yes
    • Import/Export: Yes

Community Member with View Access

  • Sharing: Cannot share the board or delete members
  • Change Permissions: Cannot access permissions
  • Collaboration: Can only view the board
    • Chat: No
    • Import/Export: Can download the board, cannot import information

Member with edit access

Guest

Collaboration is not restricted to community members in IdeaScale Whiteboard. Boards can be shared with people outside of your community; these users are considered Guests. Guests have unique permissions relative to their permissions, just like organization members do. Their permissions are listed below:

Guest with Edit Access

  • Sharing: Cannot share the board or delete members
  • Change Permissions: Cannot access permissions
  • Collaboration: Can collaborate fully on the board
    • Chat: Yes
    • Import/Export: Yes

Guest with View Access

  • Sharing: Cannot share the board or delete members
  • Change Permissions: Cannot access permissions
  • Collaboration: Can only view the board
    • Chat: No
    • Import/Export: Can download the board, cannot import information
