Workspace Member Profile Questions

This information can also be used to create groups and filter ideas. Workspace-level Profile Questions appear on a member's Profile Page alongside any Community-level Profile Questions, and can be created with a range of field types to suit the information being collected.

Role Permissions

1. Workspace Administrator: Creates Profile Questions at the Workspace level, views responses to fields marked Private, enters member details directly for fields marked Administrator Field, sets the interval for the Regularly Update or Confirm Field setting, edits a member's Profile Question responses from the member's Profile Page or from the Member Detail panel in Workspace Member Management, and populates Profile Question values while bulk-importing members.
2. Member: Views and edits responses to Profile Questions on their own Profile Page using the pencil icon next to each question.

Adding a Profile Question

Profile Questions can be created at both the Workspace level and the Community level, with different field types available at each level.

Selecting Add Question opens the setup form, which includes the following fields:

1. Language: The default language of the Profile Question.
2. Field Label: The name of the Member Profile Question.
3. Field Type: The response type for the question — Single line text box, Large text/Description, US Zipcode, URL/Hyperlink, Date, Single choice, Multiple choice, Checkbox, Integer, or Currency. Help Article for Custom Fields on Ideas covers the output of each response type.
4. Field Key: Generated automatically and used in API calls.
5. User Instructions: Additional information displayed beside the Profile Question to help members complete their response.
6. Show on Registration Form: When enabled, allows the Administrator to collect the response at the time of registration, on the Registration form. See Exceptions below for how this affects the Required setting.
7. Required: Makes the Profile Question mandatory to complete. Enabled using the Required switch.
8. Private Field: Keeps member responses confidential. Responses to a field marked Private are visible only to Workspace Administrators and Community Administrators.
9. Administrator Field: Restricts entry of the field's value to Workspace Administrators, who can enter a member's details directly. See Exceptions below for how this interacts with the Private Field setting.
10. Regularly Update or Confirm Field: When enabled, allows a Workspace Administrator to specify an interval, in months, at which members are prompted to update or confirm their Member Profile responses. Help Article for Update or Confirm Member Profile Fields covers this setting in detail.

Viewing and Editing Profile Question Responses

Workspace-level Profile Questions appear on a member's Profile Page alongside Community-level Profile Questions. A Member can edit a response using the pencil icon next to the question.

A Workspace Administrator can also edit a member's Profile Question responses from that member's Profile Page, or from the Member Detail panel in Workspace Member Management.

A Workspace Administrator can populate Profile Question values while bulk-importing members, rather than entering each response individually.

Exceptions

1. Administrator Field and Private Field: When a Profile Question is marked as both Administrator Field and Private Field, the Administrator Field setting overrides the Private Field setting.
2. Show on Registration Form and Required: When Show on Registration Form is enabled, the Profile Question is automatically marked Required, and the Required option is hidden from the Administrator.

Frequently Asked Questions

Can a member edit responses to their own Profile Questions?

Yes. A member can edit a response to a Profile Question on their own Profile Page using the pencil icon next to the question.

Who can see the response to a Profile Question marked Private?

Responses to a field marked Private are visible only to Workspace Administrators and Community Administrators.

Can the Required setting be disabled for a Profile Question shown on the Registration form?

No. Enabling Show on Registration Form automatically marks the Profile Question as Required, and hides the Required option from the Administrator. See Exceptions above.

Can Profile Question responses be set for multiple members at once?

Yes. A Workspace Administrator can populate Profile Question values while bulk-importing members.

Where else, besides the Profile Page, can a Workspace Administrator edit a member's Profile Question responses?

From the Member Detail panel in Workspace Member Management.
