Settings and working of member approval on workspace level.

What is Workspace-Level Member Approval?
Workspace-Level Member Approval is a workspace security setting that requires new members to receive Workspace Administrator approval before participating in any community within the workspace.

Member Approval allows the Workspace Administrator to control access to communities within the workspace by requiring approval before a new member can participate. Any member added to a community must be approved by the Workspace Administrator before gaining access, which helps preserve the security and privacy of the workspace.


Role Permissions

  1. Workspace Administrator: Enables or disables the New Members Approval switch under Access Control, approves or rejects pending members from Member Management, and receives an email notification when a new member registers requiring approval.
  2. Member: Registers to a workspace while Member Approval is enabled and must wait for Workspace Administrator approval before participating in any community.
 


Member Approval Setup

The New Members Approval switch can be enabled from the Member Approvals section under Access Control. Once enabled, any member joining a community within the workspace must be approved by the Workspace Administrator before participating.

Email domains added to the Auto-Approved Domain list under Auto Approval bypass Member Approval entirely and do not require Workspace Administrator approval. See Exceptions below.

Quick add or upload members by Workspace admin

Members added directly at the workspace level — whether through Quick Add or Bulk Upload — do not require Member Approval, since only the Workspace Administrator can add members using these methods. See Exceptions below.
 
 

Member Registration

A member registering to a workspace or community where Member Approval is enabled receives the following message upon completing registration.

The member must wait for Workspace Administrator approval before participating in any community within the workspace.

The Workspace Administrator receives an email notification to approve or reject the member.

Member Approval Method

Pending members are denoted by a red or pink background in Member Management. Member Approval can be managed from two places within Member Management.

Action Tab

The Workspace Administrator can approve or reject a pending member directly from the Action tab.

If approved, the member receives a verification email to complete their profile and begin participating.

The approved member also receives a community invitation email to join.

If rejected, the outcome depends on where the rejection takes place. See Exceptions below.

Member Details

Selecting a pending member's row opens the Member Details section. The Workspace Administrator can change the member's Current Status from Pending to Member to approve the member, or from Pending to Banned to reject the member.

If the Current Status is changed to Member, the member receives a verification email similar to approval from the Action tab.

If the Current Status is changed to Banned, the member is moved to the banned members list. See Exceptions below.


Exceptions

  1. Auto-Approved Domains: Members whose email domain is included in the Auto-Approved Domain list under Auto Approval bypass Member Approval entirely and do not require Workspace Administrator approval.
  2. Workspace-Level Additions: Members added directly at the workspace level through Quick Add or Bulk Upload do not require Member Approval, since only the Workspace Administrator can add members using these methods.
  3. Rejection Location Determines Outcome: Rejecting a member using Action tab >> Reject Member within a community moves the member to the banned members list at the workspace level. Rejecting a member at the workspace level instead deletes the member from the workspace entirely.
  4. No Notification on Ban via Member Details: Changing a member's Current Status to Banned from the Member Details section moves the member to the banned members list but does not send an email notification, unlike approval from either location, which sends a verification email.

Frequently Asked Questions

Does a member need approval if their email domain is on the Auto-Approved Domain list?

No. Members whose email domain is included in the Auto-Approved Domain list under Auto Approval bypass Member Approval entirely and do not require Workspace Administrator approval.

Does adding a member directly at the workspace level through Quick Add or Bulk Upload require approval?
