Overview article on Tag Settings on Community & Campaign level

The Tag settings interface has been redesigned to be more intuitive and user-friendly. In IdeaScale, tags are used to categorize and organize ideas, and the Tag settings enable administrators to define how different tags behave within the community and individual campaigns—for example, how they are applied, displayed, and managed by users and moderators. Community tags and campaign tags are now separated to facilitate easier search and management.

Predefined User Tags

Predefined tags allow community administrators to specify a pre-populated list of words that community members can select as a tag for an idea. The administrator of the community can import the tags or manually create each one. Predefined tags can be single words or multiple words. Multiple words like Co-operation, Bio-degradable should be separated with a "hyphen" to be used as tags.

This tab lists all predefined user tags that have been created by community administrators and shows a Tag Usage for each one. The Tag Usage indicates how many times a given tag has been applied to ideas across the community or within a specific campaign. This information helps administrators understand which tags are being used most frequently and how effectively the predefined tags are supporting idea organization.

Predefined Moderator Tags

They are primarily used for private communication about ideas between Moderators and Reviewers. These predefined tags are only available and visible to Moderators & authorized groups.The community administrator may either manually create the tag words or import them. The uploaded tag words would be visible in the Predefined Moderator Tag List.

Similar to Predefined user tags, this tab lists all predefined moderator tags that have been created by community administrators and shows a Tag Usage for each one. The Tag Usage indicates how many times a given tag has been applied to ideas across the community or within a specific campaign.

Applied Tags

Applied Tags are all tags that have actually been used on ideas within the community or a campaign. This section is divided into two categories: User Applied Tags and Moderator Applied Tags.

It includes both:

Predefined tags – tags that administrators have created in advance, and

Applied tags – tags that are created directly by users or moderators as they work with ideas.

By reviewing Applied Tags, administrators can see how tagging is being used in practice, identify common themes, and decide which tags should be standardized or refined to improve idea organization and searchability.

Note: Creation of tags by moderators or users can only be controlled at the campaign level under for each campaign individually.


Create Tags

Using the +Create button, an administrator can add new predefined tags to structure how ideas are categorized. From the dropdown menu, first select whether to create a Predefined User Tag or a Predefined Moderator Tag, depending on who will use the tag and for what purpose.

Next, type the desired tag term into the field and either press the Enter key or click the Create: tag word option that appears below the field. Finally, select the Save button to complete the process and make the new tag available for use across the community or within specific campaigns.

If the tag already exists, the system displays an error message indicating that the tag is a duplicate. This safeguard helps prevent multiple versions of the same tag.

The Tag Settings on community level and campaign level have different settings. Lets see them in detail.

Community-level Settings

Tag Settings on community level have 2 options: User Tag Permissions & Moderator Tag Permissions.

1. User Tag Permissions: It has a setting, Allow users to select from Predefined tags that allows members to tag ideas using predefined tag created by the admin.

2. Moderator Tag Permissions: It has 2 settings.

a. Allow moderators to select from Predefined Moderator tags - It allows moderators to tag ideas using predefined tag created by the admin.

b. Allow Selected Groups to use Moderator tags - It allows to select Community groups (Or Workspace groups assigned to that community) that are granted permission to assign moderator tags to ideas even if they are not moderators.

There is an additional setting, Include Tags from Archived Campaigns that allows to show and use the tags from archived campaigns.

Campaign-level Settings

The Settings under Campaign-level Tag settings can be accessed from 2 areas

1. Campaign Management >> Campaigns >> Action (3 dots) >> Edit >> Settings >> Idea Tags

2. Campaign Management >> Campaigns >> Action (3 dots) >> Tags

Tags Search

Tag Search allows you to quickly locate specific tags across Predefined User Tags, Predefined Moderator Tags, and Applied Tags. To use it, enter all or part of the tag word into the search field. As you type, the system automatically filters the list to show only tags that match your search term, helping you analyze, manage, or reuse existing tags more efficiently.


Import Tags

The administrator has the option to import predefined tags in bulk using Excel file instead of creating them manually on community-level & the campaign-level. The import can be done for Predefined user tags as well as Predefined moderator tags

Merge & Delete

Administrators can consolidate related or duplicate tags into a single tag to reduce redundancy and improve consistency. They can also remove predefined tags that are no longer needed, to keep the tagging system clear and relevant.

1. Merge

To merge tags, first select two or more tags and then click the Merge button in the bulk action bar. The system will prompt to enter a single tag name that will replace the selected tags. After confirming, all ideas previously associated with the individual tags are reassigned to the new merged tag, and their combined activity is reflected under Tag Usage count.

2. Delete

Tags can be removed either one at a time or in bulk, allowing administrators to keep the tagging system clean and relevant.

To delete an individual tag, click the Recycle bin icon under Action column next to the tag name, then confirm the action by selecting the Delete button in the confirmation modal. This ensures that deletions are intentional and helps prevent accidental loss of tags.

To delete multiple tags at once, select the desired tags using the checkboxes beside each tag, click the Delete button in the bulk action bar, and then confirm by clicking Delete again in the pop-up modal. Bulk deletion is especially useful when you are cleaning up outdated or redundant tags across a large community.

Note: Only Predefined Tags can be deleted. User or moderator-created tags cannot be deleted.
