What are Tag Settings?
Tag Settings define how tags behave within a community and its individual campaigns, controlling how they are applied, displayed, and managed by users and moderators.

In IdeaScale, tags are used to categorize and organize ideas. Community Tags and Campaign Tags are separated to facilitate independent search and management at each level.

Role Permissions

  1. Community Administrator: Creates, edits, imports, merges, and deletes Predefined User Tags and Predefined Moderator Tags at the community level, and configures community-level Tag Settings permissions.
  2. Campaign Administrator: Manages Tag Settings at the campaign level, including campaign-specific predefined tags and permissions.
  3. Moderator: Applies Predefined Moderator Tags to ideas for private communication with Reviewers.
  4. Reviewer: Views Predefined Moderator Tags applied to ideas as part of private communication with Moderators.
  5. Selected Groups: Community or Workspace groups granted permission, at the Community Administrator's discretion, to assign Moderator Tags to ideas even when not designated as Moderators.


Predefined User Tags

Predefined tags allow the Community Administrator to specify a pre-populated list of words that community members can select as a tag for an idea. The Community Administrator can import the tags or manually create each one. Predefined tags can be single words or multiple words; multiple-word tags such as Co-operation or Bio-degradable are separated with a hyphen.

This tab lists all Predefined User Tags created by Community Administrators and shows a Tag Usage count for each one. Tag Usage indicates how many times a given tag has been applied to ideas across the community or within a specific campaign, helping administrators identify which tags are most frequently used and how effectively predefined tags are supporting idea organization.

Predefined Moderator Tags

Predefined Moderator Tags are used primarily for private communication about ideas between Moderators and Reviewers. These predefined tags are visible only to Moderators and Selected Groups authorized to use them. The Community Administrator can manually create the tag words or import them; uploaded tag words appear in the Predefined Moderator Tag list.

As with Predefined User Tags, this tab lists all Predefined Moderator Tags created by Community Administrators and shows a Tag Usage count for each one, indicating how many times a given tag has been applied to ideas across the community or within a specific campaign.

Applied Tags

Applied Tags are all tags that have actually been used on ideas within the community or a campaign. This section is divided into two categories: User Applied Tags and Moderator Applied Tags. It includes both Predefined Tags — tags that administrators have created in advance — and Applied Tags created directly by users or moderators as they work with ideas.

Reviewing Applied Tags allows administrators to see how tagging is being used in practice, identify common themes, and decide which tags should be standardized or refined to improve idea organization and search ability.

Note: Creation of tags by moderators or users can only be controlled at the campaign level, individually for each campaign. See the Help Article for Campaigns.


Create Tags

Using the Create button, the Community Administrator can add new predefined tags to structure how ideas are categorized.

  • Select Create.
  • From the dropdown menu, select Predefined User Tag or Predefined Moderator Tag, depending on who will use the tag and for what purpose.

  • Type the desired tag term into the field, then press Enter or select the Create: tag word option that appears below the field.
  • Select Save to complete the process and make the new tag available for use across the community or within specific campaigns.

Note: If the tag already exists, the system displays an error message indicating that the tag is a duplicate. This safeguard helps prevent multiple versions of the same tag.


Settings

Tag Settings differ between the community level and the campaign level.

Community-Level Settings

Tag Settings at the community level include two options: User Tag Permissions and Moderator Tag Permissions.

  • User Tag Permissions: Includes the Allow users to select from Predefined tags setting, which allows members to tag ideas using predefined tags created by the Community Administrator.
  • Moderator Tag Permissions: Includes two settings.

a. Allow moderators to select from Predefined Moderator tags: Allows Moderators to tag ideas using predefined tags created by the Community Administrator.

b. Allow Selected Groups to use Moderator tags: Allows selection of Community groups, or Workspace groups assigned to that community, that are granted permission to assign Moderator Tags to ideas even if they are not Moderators.

An additional setting, Include Tags from Archived Campaigns, allows tags from archived campaigns to be shown and used.

Campaign-Level Settings

Campaign-level Tag Settings can be accessed from two areas:

  1. Campaign Management >> Campaigns >> Action (3 dots) >> Edit >> Settings >> Idea Tags
  2. Campaign Management >> Campaigns >> Action (3 dots) >> Tags

Tags Search

Tags Search allows Predefined User Tags, Predefined Moderator Tags, and Applied Tags to be quickly located across the community. Entering all or part of a tag word into the search field filters the list automatically to show only matching tags, supporting analysis, management, and reuse of existing tags.


Import Tags

The Community Administrator has the option to import predefined tags in bulk using an Excel file instead of creating them manually at the community level or the campaign level. Import is available for both Predefined User Tags and Predefined Moderator Tags.

Merge & Delete

Administrators can consolidate related or duplicate tags into a single tag to reduce redundancy and improve consistency, and can remove predefined tags that are no longer needed to keep the tagging system clear and relevant.

Merge

  1. Select two or more tags.
  2. Select Merge in the bulk action bar.
  3. Enter a single tag name that will replace the selected tags.
  4. Confirm the merge.

Once confirmed, all ideas previously associated with the individual tags are reassigned to the new merged tag, and their combined activity is reflected under the Tag Usage count.

Delete

Tags can be removed either one at a time or in bulk.

To delete an individual tag:

  1. Select the Recycle bin icon under the Action column next to the tag name.
  2. Select Delete in the confirmation modal to confirm the action.

To delete multiple tags at once:

  1. Select the desired tags using the checkboxes beside each tag.
  2. Select Delete in the bulk action bar.
  3. Confirm by selecting Delete again in the pop-up modal.

Note: Only Predefined Tags can be deleted. User- or Moderator-created tags cannot be deleted.


Frequently Asked Questions

What is the difference between a Predefined Tag and an Applied Tag?

A Predefined Tag is a tag that a Community Administrator creates in advance, either manually or by import, for members or Moderators to select from. An Applied Tag is any tag — predefined or user/moderator-created — that has actually been used on an idea within the community or a campaign.

Can a tag be created if it already exists?

No. If the tag word already exists, the system displays an error message indicating that the tag is a duplicate, preventing multiple versions of the same tag from being created.

Can Predefined Tags be imported for both the community and campaign levels?

Yes. The Community Administrator can import Predefined User Tags and Predefined Moderator Tags in bulk using an Excel file at either the community level or the campaign level, instead of creating them manually.

Can a user- or moderator-created tag be deleted?

No. Only Predefined Tags can be deleted. Tags created directly by users or moderators cannot be deleted.

What happens to Tag Usage counts when tags are merged?

When two or more tags are merged, all ideas previously associated with the individual tags are reassigned to the new merged tag, and their combined activity is reflected under the Tag Usage count for the merged tag.

Who can see Predefined Moderator Tags?

Predefined Moderator Tags are visible only to Moderators and to Selected Groups that the Community Administrator has authorized to use Moderator Tags, even if those groups are not designated as Moderators.
