What is Schedule Idea Data Export?
Schedule Idea Data Export is a Community setting that automates recurring delivery of idea and idea vote data to a designated email address on a Daily, Weekly, or Monthly basis.

Once configured, the system automatically compiles idea data for the selected frequency and emails download links for the Idea data and Idea Votes data files, removing the need to run manual exports.

Role Permissions

  1. Community Administrator: Configures the Schedule Idea Data Export settings, including frequency, weekly schedule day, recipient email address, and timezone.
  2. Global Moderator: Can be designated as the recipient email address for the scheduled export but does not configure the export schedule.

Export Schedule Setup

Navigate to Settings >> Community >> Data >> Export Data >> Schedule Idea Data, then complete the following fields:

  1. Export Ideas: Sets the frequency at which idea data is exported — Daily, Weekly, or Monthly. This can also be set to Disabled to turn off scheduled exports. See Exceptions below for periods with no data.
  2. Weekly Export Schedule: Visible only when Weekly is selected as the export frequency. The Community Administrator selects the day of the week on which the Idea Data Export is sent.
  3. Email To: The email address of the Community Administrator or Global Moderator who should receive the scheduled export. Only one email address can be entered.
  4. Timezone: The preferred timezone for viewing the exported data. This determines how timestamps appear within the exported file rather than when the export email is delivered — see Frequently Asked Questions below.

Note: All scheduled Idea Data Export emails are delivered at 8:00 AM PST, regardless of the frequency or timezone selected.

Scheduled Export Email

The configured recipient receives an email containing download links for two files:

  1. Idea Data: Downloads the Idea data file.
  2. Idea Votes Data: Downloads the Votes data file.

Exceptions

  1. No Data For Period: If there is no idea data for the selected export period, the exported file will be blank. The Schedule Idea Data Export only includes ideas from the specific frequency period set by the Community Administrator, not all ideas in the community.

Frequently Asked Questions

Does changing the Timezone setting change when the scheduled export email is delivered?

No. The Timezone setting only affects how timestamps are displayed within the exported data file. All scheduled export emails are delivered at 8:00 AM PST regardless of the Timezone selected.

Can a scheduled Idea Data Export be sent to more than one email address?

No. Only one email address can be entered in the Email To field for a given schedule.

Can a scheduled Idea Data Export be turned off?

Yes. Setting Export Ideas to Disabled stops scheduled exports from being sent.

Why would a scheduled export email arrive with a blank exported file?

A blank file is returned when there is no idea data for the specific frequency period covered by that export — for example, a Weekly export covering a week with no submitted ideas. See Exceptions above.
