ReviewScale Stage

ReviewScale stage setup and functionality

Path: Campaign Management >> Workflow >> ReviewScale Stage

During this stage, ideas are systematically evaluated by subject matter experts using clearly defined criteria such as Value, Cost, and Constraints. Each criterion can include multiple questions, and each question is rated using a standardized scale: High, Medium, Low, or NA (Not Applicable). To support transparent and informed decision-making, reviewers can also add explanatory notes for each question, documenting the reasoning behind the selected rating.


ReviewScale Stage Setup

ReviewScale Stage setup is divided into 4 tabs - Info, Settings, Automation & Permissions. Let's see them in detail.

1. Info

Info section contains basic details about the stage as follows:

Stage Function - Select Ideate stage from drop down. Once selected and saved, this section will be greyed out and cannot be changed to other stage

Stage Name - Create a custom name/label for the stage. Note: Character limit is 40.

Stage Key - It is a unique identified for the specific stage required for API call data retrieval. Once saved, the key cannot be changed.

Description - Describe stage functionality or how you would like to use this stage. This description will be mouseover text on the stages stack on the right navigation of the community homepage

Stage Color - Select a color for the stage from the 10 available default options.

Reported Ideas As - Set the stage as Selected, Implemented or blank to apply the respective label to all ideas within that stage. Help article on Selected & Implemented Ideas

Enable Stage - Select this checkbox to activate the stage, enabling ideas to be moved into it.

Stage Change Notification - Select this checkbox to activate the stage change notification. Enabling it will send a stage change email notification to the members who have opted for it.


2. Settings

Community admin can customize this stage to suit the goals of the community and campaign. 

There are 3 categories where community admins can create their own factors:

  • Weighted business goals (Value): Reviewers can rate on a Low, Medium, High scale

  • Variable Cost structures: Reviewers can rate on a Low, Medium, High scale

  • Potential business Constraints: Reviewers can answer Yes or No. Please keep in mind that this category will not add responses to the final scores.

After any of these categories are enabled, administrators can define new evaluation criteria and assign a dedicated reviewer team responsible for assessing that portion of the review. The Community Admin can also configure the rating scale by specifying what each option—H (High), M (Medium), L (Low), and NA (Not Applicable)—represents in the context of the review.

+ Add button: Use the Add button to create evaluation questions for each enabled factor, enabling reviewers to systematically assess the idea against those criteria.

Key: The Community Admin can relabel the rating options associated with H (High), M (Medium), L (Low), and NA (Not Applicable) to align with the community’s specific evaluation framework.

Value/Cost/Constraint Reviewer Team: To configure the reviewer team for an enabled factor, the Community Admin should use the Value Reviewer Team field and select the appropriate option—an individual Member, a Group, or a Team Role—from the dropdown menu.

Enable Comments : Enabling the comment tab will create two sections within the comments: one titled 'Community' and another labeled with the name of the funnel created for ReviewScale. All members can contribute comments related to the idea in the Community tab, while specific comments for the Reviewscale stage can be entered in the dedicated second tab by the members permitted to participate in this stage.

3. Automation

Use this section to configure automation for the ReviewScale stage. When automation is enabled, once all the reviewers have completed their review questions, it will automatically advance to the next stage in the workflow. The number of reviewers may differ per idea depending on the assigned team role.


4. Permissions

The Permissions section in the ReviewScale stage defines who can view reviews and their scores on the idea detail page. A community administrator can configure these permissions for all community members, for a specific group, or for a specific Team Member role (Only if a team role has been specified & filled in any build team stage in the same funnel).


 

Stage Functionality on Homepage

The team members admin has selected to review and rate the ideas within the stage can do it from the Idea itself. Once they select the idea, the Activity tab will show the various factors you have chosen along with the ratings they can select from. They can also add Review notes.

The Community Administrators can view the note which is available in the exported ReviewScale report. The administrators, reviewers, and the members permitted to review the stage will be able to see the Review notes from the Activity tab as well. Reviewers can edit their rating using the Edit Rank link.

Depending on the viewing settings community admin selected in the stage, users/reviewers will be able to see the Impact Ratio of the Idea. The Impact Ratio is the average of the value and cost factors admin created.


Lets see an example:

Impact ratio is calculated by sum of value factor/sum of cost factor which means anything that is "1" or higher presents more value than cost.

Value score is the sum of combined score from all the value rating (L/M/H) from all reviewers who rated.

Cost score is the sum of combined score from all the cost rating (L/M/H) from all reviewers who rated.

Here, Weigh of L - 1 | Weigh of M - 4 | Weigh of H - 10

If,

Reviewer 1 rates an Idea- Value - L ,Cost - M

Reviewer 2 rates an Idea- Value - H, Cost - H

Value Total - 11/2 = 5.5

Cost Total - 14/2 = 7

Impact Ratio - 0.785

Whenever a new reviewer comes in and rates value & cost factors, then it does not replace any value but sums up & is averaged. Also, note, that NA does not have any value, so when you average you do not count that as an input. If only the value factor is rated, the cost factor is not available/not rated, then the impact ratio is value factor/1. But it's recommended to have a cost factor to get a balanced impact ratio.

Participants who are not permitted to view or participate will not see the progress bar, Impact ratio average or the Impact ratio details.

Export to Excel

All ReviewScale data can be exported to an Excel file for additional analysis and documentation. To do this, open the Workflow, locate the ReviewScale stage, and then click More (the three-dot menu) and select Export to Excel

There are 3 tabs - Reviewscale Result, Reviewscale Scores and Reviewscale Participants.

Reviewscale Result: It contains  Idea number, Idea name, Value score, Cost score, Impact ration and the weights of each factor.

Reviewscale Scores: It contains the Member name, Idea title, Value factor's title, Scores and Review notes along with Cost Factor's title, Scores and Review notes.

Reviewscale Participants: It contains the Member who completed the review and Number of Ideas rated by them

Constraint responses are visible only in individual participant's sheet in the excel.
