Notification Settings

Email notification settings for community members

Path: Community Settings >> Email Settings >> Notifications

The Community administrator can configure Default Notification Preferences for the email notifications sent to all community members. These settings are applied automatically to every new user account. However, each member can review and adjust their own preferences at any time by navigating to Profile >> Settings >> Notifications >> Bell icon.

These notification options are organized into five distinct tabs, each representing a specific audience or area where the notifications apply - Idea Notification, Activity Notification, Personal Notification, Admin Notification & Moderator Notification. The admin can make changes to each section and save it separately.

Idea Notification

1. New Idea: Enables the administrator of the community to either disable or set up the frequency of emails sent out in the New Ideas Digest

When the Frequency is set to Real Time, notifications can be configured for either

All Authorized Campaigns: Members will receive email notifications for all the campaigns the member is authorized to access and participate in.

Subscribed Campaigns: Members will receive email notifications for only the campaigns they have subscribed to.

2. Idea draft Reminder: Notification to a community member that they have ideas not published.

3. Receive email notifications for idea annotation: An email notification is sent to the idea submitter when a comment is annotated on the idea.

4. Receive idea inactivity emails: A notification sent to an Idea Submitter(s) and/or Idea Owner(s) when their idea is 'inactive' for 'X' number of days according to Idea Inactivity rule.

5. Thank you Email: An email will be sent to idea submitter thanking for submitting idea.


Activity Notification

1. New Comment Emails: Enabling this will allow members to receive an email for every new comment posted on their idea.

When the Frequency is set to Real Time, notifications can be configured for either

Subscribed Ideas: Members will receive email notifications for comments from only the ideas the member is following.

Subscribed Campaigns: Members will receive email notifications for comments from only the campaigns they have subscribed to.

2. Stage Change: Notification when an idea changes stage. 

3. Assessment: This email is received when Remind all unassessment members is initiated in Assessment stage.

4. Mentions: Enabling this will allow members to receive an email when they are @mention in the community.

5. Workflow Executed: This will send emails to the groups or members when Notify is selected in the Automation builder and the workflow is done.

6. Import Reports: This will send an email to the relevant administrator whenever an import is completed.

7. Idea Shared Via Email: Enabling this will allow members to receive an email if any ideas have been shared with them via email.


Personal Notification

1. Role Change: Enabling this switch will send emails to members when their role within the community/workspace has changed. For example, if the member's account was assigned as a Workspace Admin, Community admin or Moderator etc.

2. Top Trending Ideas: Enabling this will allow members to receive an email notification when their idea is on the top trending list.

3. Assigned Team Member: An email notification is sent to members assigned as a team member in an idea.

4. Assigned Team Owner: Notification letting community members know they have been assigned as the owner of an idea.

5. Campaign Invitation: Enabling this switch will allow members to receive campaign invitation emails whenever a new campaign invite is sent

6. Private Message: Enabling this will allow members to receive an email for every message sent to them.

7. Group Message: Enabling this will allow members to receive an email when API call "/email/group/{id}" is used. (group id will determine which group members will receive the email) This is possible only when used via API.

8. Private Comment: Enabling this will allow Administrators, Community, and Campaign Moderators to receive an email for every private comment submitted.

9. Campaign Performance: Enabling this will allow members to receive an email for campaign performance/Moderator campaign digest shared by moderator from in-app notification.

10. Flag Emails: The members of the community will receive flag emails if their idea has been reported as duplicate or abuse.

11. Receive Broadcast Emails: Enabling this switch will allow members to receive Broadcast emails sent from the community.


Admin Notification

1. Members Locked: The Community admin will receive a summary email detailing members who have been locked out due to incorrect password attempts or prolonged inactivity.

2. Real-Time Admin Alerts for Innovation Assistant Tips: Email notification received when there is a new Innovation Assistant Tip.

3. Shared using the Social Web Email option: Enabling this will send an email to the members whenever the community is shared via the Social Web option.


Moderator Notification

1. Idea Approval: Notifies moderators via email when a new idea is submitted and requires their approval before it is published.

2. Comment Approval: Notifies moderators via email when a new comment is submitted and requires their approval before it is published.

3. Approve New Members: Enabling this switch will send an email notification reminding Community Admins and Community Moderators to approve new members.
