What is Microsoft Teams Integration?
Microsoft Teams Integration is a feature that brings IdeaScale's collaborative innovation workflow into Microsoft Teams.

Microsoft Teams Integration allows a Member to engage with ongoing campaigns, submit ideas, comment on and vote on submissions, and give Kudos to colleagues without leaving the Microsoft Teams environment.


Role Permissions

  1. Member: Adds the IdeaScale app in Microsoft Teams, authorizes the Workspace connection, and accesses the campaigns and ideas the Member is authorized to view across the communities in the Workspace.

Setting Up Microsoft Teams Integration

  1. Add the IdeaScale app: Log in to the Microsoft Teams app. Search for the IdeaScale app in the Microsoft Teams App Directory and add it. After the IdeaScale app is added, Microsoft Teams navigates to the Workspace login page, and the IdeaScale icon appears on the left side panel.

 2. Authorize with Microsoft Teams: Enter the Workspace URL and log in using an                IdeaScale login. Authentication using SSO, Google, or Microsoft login is also                   supported, mirroring the Member's existing IdeaScale access.

   3. Access campaigns and ideas: Once authorization is complete, the Member can              access all campaigns and ideas they are authorized to access, across the                        communities within the Workspace, under the campaign settings. See                              Exceptions below for connection limits.

Using the IdeaScale Microsoft Teams App

Once a Member has authenticated Microsoft Teams with the Workspace, two tabs are available for accessing ideas across the communities in the Workspace: Campaigns Dashboard and Ideas List.

Campaigns Dashboard

The Campaigns Dashboard tab displays a list of active, accessible campaigns from every accessible community. Each campaign card shows a title, brief description, and banner image.

Selecting a campaign tile opens the campaign page, where a Member can perform the following actions:

 

  • Submit an idea: A Member can submit an idea or save it as a draft. Private idea submission is not allowed. Note: If required fields are not supported or are missing, the idea is saved as a draft in IdeaScale, and the Member is notified to complete it there.
  • Comment: A Member can view, edit, or delete previous comments, or submit a new one. A comment can be pinned to the top, made private, or annotated, and an attachment can be added. Anonymous comment submission is not allowed.
  • Vote: A Member can vote on an idea or retract a vote.
  • Follow or unfollow an idea: An idea can be followed or unfollowed.
  • Give Kudos: Kudos can be given to idea submitters or commenters.
  • Filter ideas: Ideas can be filtered to display Recent or Trending ideas, in ascending or descending order.
  • Search ideas: Ideas can be searched by keyword from the title, description, or tags. Advanced search is not available.
  • Navigate campaign pages: In addition to the Ideas page, the About, Team, and Workflow pages are available, similar to the IdeaScale application.
  • View idea details: The idea details page shows the Idea's comment and attachment tabs. Note: Stage comments are not available on the idea details page.

The following actions are not available on the IdeaScale Microsoft Teams app's Campaigns Dashboard:

  • Labels: Labels cannot be added from the idea details page and are not clickable there; they can only be viewed on ideas or added during idea submission.
  • Tags: Tags cannot be added from the idea details page and are not clickable there; they can only be viewed on ideas or added during idea submission.
  • Member profile page: The names of idea submitters or commenters are not clickable and do not navigate to the Member's profile page.
  • Stage actions: No stage actions other than voting are currently available.
  • Activity tab: The Activity tab is not available on the idea details page.

Ideas List

The Ideas List tab allows a Member to select one community from the list of accessible communities in the Workspace, along with multiple campaigns from within that community. After making a selection, the Member selects View Ideas to navigate to the ideas list. teams ideas-1

The Ideas List page includes a Community dropdown, which loads ideas from a single selected community, and a Campaign dropdown, which allows selecting multiple campaigns from within that community.

A Member can perform the following actions on the Ideas List:

  1. Vote: A Member can vote on an idea or retract a vote.
  2. Follow or unfollow an idea: An idea can be followed or unfollowed.
  3. Give Kudos: Kudos can be given to idea submitters or commenters.
  4. Search ideas: Ideas can be searched by keyword from the title, description, or tags. Advanced search is not available.

 

The following actions are not available on the IdeaScale Microsoft Teams app's Ideas List:

  1. Labels: Labels are not clickable and can only be viewed on ideas.
  2. Tags: Tags are not clickable and can only be viewed on ideas.
  3. Member profile page: The names of idea submitters or commenters are not clickable and do not navigate to the Member's profile page.
  4. Stage actions: No stage actions other than voting are currently available.
  5. Idea details page: Idea titles are not clickable and do not open the idea details page from the Ideas List.
  6. Comments: The comments icon is not clickable and does not open comments.

Exceptions

  1. Workspace Connection: Microsoft Teams Integration supports only one Workspace connection at a time.

Frequently Asked Questions

How many Workspace connections can be authenticated in Microsoft Teams at one time?

Only one Workspace connection is supported at a time.

Can an idea be submitted privately from the Microsoft Teams app?

No. Private idea submission is not allowed from the Campaigns Dashboard tab.

What happens if a required field is missing when submitting an idea from Microsoft Teams?

If a required field is not supported or is missing, the idea is saved as a draft in IdeaScale, and the Member is notified to complete it there.

Can a Member perform stage actions from the Microsoft Teams app?

No. Aside from voting, no stage actions are available on either the Campaigns Dashboard or the Ideas List tab.

Can a Member navigate to another Member's profile page from the Microsoft Teams app?

No. Idea submitter and commenter names are not clickable on either the Campaigns Dashboard or the Ideas List tab, so they do not navigate to a Member profile page.
