Journey Report

The Journey Report helps to understand how ideas move through the innovation workflow, from initial submission to the final stage. It highlights how many ideas are currently in each stage and how many progress to the next stage, giving a clearer picture of how the workflow is operating and helping identify opportunities to optimize the process and reduce delays.

Role Permissions

1. Workspace Administrator, Community Administrator & Community Moderator: Creates and configures Journey Reports at the workspace level, including selecting the Workflow, Stages, Time Frame, and Visualization; enabling Include Backward Transition and Show Dropoff; and viewing detailed idea information for transitioned ideas.

Report Creation

To create a Journey Report, the administrator navigates to the Reports section and selects Create Report. From the list of available report types, Journey Report is selected. The system then directs to the report setup page, where the report parameters can be configured and the report generated.

Report Setup

The Journey Report provides flexible configuration options that allow administrators to analyze how ideas progress through workflow stages over a selected period.

The following report parameters can be customized:

1. Visualization: How the report data is displayed.
   • Table: Presents idea movement data in a tabular format.
   • Sankey: Visualizes the flow of ideas between workflow stages.
2. Time Frame: The reporting period for the data.
   • Last 7 Days
   • Last 30 Days
   • Last 180 Days
   • Last 365 Days
   • Custom Date Range
3. Workflow: The workflow from which the data is displayed.
4. Stages: All workflow stages are selected by default. Specific stages can be deselected to focus the report on relevant portions of the idea lifecycle.

Once all parameters are set, Show Results is selected to display the data. An appropriate name is then provided and the report is saved.

Visualization

The Journey Report supports two visualization formats: Table and Sankey. When the Sankey visualization is used, the underlying data is also available in a tabular format for detailed analysis.

Table

The Table view displays idea transition data in a structured format with the following columns:

1. Stage: The workflow stage from which the ideas originated.
2. To Stage: The workflow stage to which the ideas were moved.
3. of Ideas Moved: The total number of ideas that transitioned between the selected stages.
4. % of Ideas Moved: The percentage of ideas that transitioned between the selected stages.
5. Transition: Indicates whether the ideas moved forward (to the next stage) or backward (to the previous stage) within the workflow.

Include Backward Transition: Enabling this option displays ideas that moved backward in the workflow, in addition to those that moved forward. Counting backward transitions shows how many ideas required rework, not just the forward-progress story, giving insight into where churn is occurring in the process.

Selecting an idea count in the report opens a detailed view containing the following information for the ideas that moved:

1. Idea Title: Displays the title of the idea. Selecting the title navigates to the Idea Details page.
2. Submission Date: Displays the date the idea was submitted.
3. Idea Author: Displays the name of the idea author. Selecting the author's name navigates to their member profile.

Sankey Visualization

The Sankey visualization provides an interactive graphical representation of idea movement throughout the workflow. Each connection between stages represents a transition and is color-coded to help distinguish different paths.

Hovering over a transition displays:

1. The number of ideas that moved between the selected stages.
2. The percentage of ideas represented by that transition.

Show Dropoff: Enabling this option includes ideas that did not transition to another stage during the selected period. These idea counts are displayed as drop-offs within the Sankey visualization, providing additional insight into where ideas remained inactive within the workflow and helping identify which stages to target for improvement.

Frequently Asked Questions

What is the difference between the Table and Sankey visualizations?

The Table view displays idea movement data in a structured tabular format and can include backward transitions when Include Backward Transition is enabled. The Sankey visualization displays idea movement as an interactive, color-coded graphical flow and can display drop-off data when Show Dropoff is enabled, but does not display backward transitions.

Can backward transitions be viewed in the Sankey visualization?

No. Backward transitions are only available in the Table view and are not represented in the Sankey visualization.

What is drop-off data, and where is it available?

Drop-off data reflects ideas that did not transition to another stage during the selected reporting period. It is only available in the Sankey visualization and is not included in the Table view.

What information appears when an idea count is selected in the Table view?

Selecting an idea count opens a detailed view showing the Idea Title, Submission Date, and Idea Author for each idea that moved.

Are deleted ideas or stages included in Journey Report data?

No. Any ideas or stages that have been deleted are excluded from the Journey Report.

What time frame options are available when setting up a Journey Report?

Last 7 Days, Last 30 Days, Last 180 Days, Last 365 Days, or a Custom Date Range.
