| Jira Integration is a Community-level setting that connects an IdeaScale community to a Jira project, allowing ideas to be tracked, updated, and followed through implementation. |
Once configured, ideas moved into a "Selected" stage are automatically sent to the connected Jira project, allowing progress on selected ideas to be tracked directly in Jira. Setup is completed through the Application Link created between the community and Jira.
Role Permissions
- Community Administrator: Creates the Application Link between the community and Jira, authorizes the connection, configures the Project and Ticket Type for each campaign, and removes the configuration when needed.

Set Up a New Jira Instance
This section is only needed when setting up a new Jira project. If a Jira instance already exists, proceed to Create an Application Link in Jira.
Note: Before starting, both the community and Jira should be open in separate browser tabs, since access to both is required throughout configuration.
The first main step is to login to Jira software with an Administrator account. (Only needed if setting up a new project.)
- Navigate to the Jira URL.
- Choose the Set It Up For Me option and select Continue.
- Choose the Jira Software (Data Center) license, enter the organization name, and select Generate License.
- Enter an email, username, and password to complete the Administrator account setup.
- Choose a language and select Next.
- Create a project.
Create an Application Link in Jira
- In Jira, navigate to Project Dashboard >> Settings >> Products.
- Under Integrations, select Application Links.

Select Create Link >> Direct Application Link, enter the community URL without conditional characters (for example, https://testcom1.ideascaleapp.com), and select Continue.


- If an error indicates the URL could not be verified, select Continue again.
- Enter an application name (for example, ideascale).
- Create a consumer key that matches the key that will be used in the community (for example, testkey).
- Add the community URL to the Request Token URL, Access Token URL, and Authorize URL fields.
- Select Create Incoming Link.
- Select Continue once all settings are confirmed to be correct.
Note: The Application Link settings must be saved in Jira before entering the URL and consumer key in IdeaScale. See Exceptions below.

Authorize the Integration in IdeaScale
- In IdeaScale, enter the Jira URL and the consumer key created in Jira (for example, testkey), then select Generate Keys. Do not select Save and Continue yet — the resulting public key must first be entered in Jira.

Return to Jira, select Continue, and enter the consumer key, a consumer name, and the public key generated by IdeaScale in the previous step.
Note: Make sure to save in Jira. If you do not save before putting the info into IdeaScale you will receive a "Failed to save configuration” message.

The Application Link is created once Jira confirms the connection.

Return to IdeaScale and select Save and Continue. If the Jira settings are correct, a Click Here and Allow Access button appears; select it.

Select Allow on the resulting prompt in Jira.

- Copy the private key from the resulting page.

- Enter the private key into the Secret Key field in IdeaScale, then select Save and Continue.

Configure Projects and Ticket Types for a Campaign
Move to the Configuration tab to configure the integration for a campaign. Once a Project and Ticket Type have been created in Jira, they appear under the Configuration tab for the Community Administrator to select and save.

To integrate Jira with multiple campaigns, select the appropriate Project and Ticket Type for each campaign and select Save.
Remove the Integration
The configuration can be removed at any time from the Settings tab by selecting Remove Configuration.
Send Selected Ideas to Jira
Once configuration is complete, moving an idea into a stage marked "Selected" automatically sends that idea to the associated Jira project.

Stages are marked as "Selected" from Funnel Management in the admin panel: edit the funnel and add "Selected" to the desired stage.


See Exceptions below for a condition that prevents an idea from being sent to Jira.
Exceptions
- Duplicate Issue Name: If an idea being moved into a "Selected" stage has the same name as an existing issue in the Jira project, an error occurs and the idea is not sent to Jira.
- Application Link Not Saved in Jira: If the Application Link settings are not saved in Jira before the URL and consumer key are entered in IdeaScale, saving in IdeaScale returns a "Failed to save configuration" message.
Frequently Asked Questions
Is creating a new Jira instance required to use this integration?
No. Creating a new Jira Software (Data Center) instance is only necessary when setting up a new Jira project. If a Jira instance already exists, setup begins with creating an Application Link.
Can the Jira integration be configured for more than one campaign?
Yes. Each campaign can be configured with its own Project and Ticket Type under the Configuration tab, allowing ideas from different campaigns to be sent to different Jira projects.
Which idea stage sends ideas to Jira?
Moving an idea into a stage marked "Selected" automatically sends that idea to the connected Jira project. Stages are marked "Selected" from Funnel Management in the admin panel.
What happens if an idea's title matches an existing Jira issue?
The idea is not sent to Jira, and an error occurs. See Exceptions above.
