Import Idea Owners

Import Idea Owners allows a Community Administrator to bulk assign members as Idea Owners for ideas within a selected campaign, using an uploaded Excel file rather than assigning owners to each idea individually.

Role Permissions

1. Community Administrator: Can access the Import Idea Owners panel, generate the import template, upload the completed Excel file, and bulk assign Idea Owners to ideas within a selected campaign.

Accessing the Import Idea Owners Panel

The Import Idea Owners panel is reached by navigating to Settings >> Community >> Data >> Import Data >> Idea Owners.

Generate Template

Generating the template is recommended before every import. Selecting Generate Template produces an Excel sheet pre-populated with the exact columns required for a successful import.

Configure the Import

Once the template has been completed, the following fields configure the import before the file is uploaded:

Select Campaign

Select the specific campaign, from the dropdown, to which the Idea Owners need to be imported.

File to Upload

Choose the completed Excel file to be uploaded.

Disable Notification

Selecting Disable Notification suppresses the email notifications that would otherwise be sent to the members being assigned as Idea Owners. It does not affect the separate import confirmation email sent to the Community Administrator (see Import Confirmation below).

Excel File Field Requirements

The generated template requires the following columns to be completed:

1. Idea Title: Pre-populated by the template with every idea title in the selected campaign.
2. Idea Url: Pre-populated by the template with the short idea URL for each idea; no changes are required.
3. Email Address of the Person Assigning Owner: The email address of the member assigning the Idea Owner. This member must be an assigned Moderator in the community.
4. Date: This column cannot be left blank. If previous dates are not being changed, the format specified must still be followed. Because Excel automatically converts populated date values to its own date type, this column must be set to the text-type field before entering dates.
5. Assignment Message (Optional): An optional message sent to the new Idea Owner. This column can be left blank.
6. Email Address of Idea Owner 1: The email address of the member being assigned as an Idea Owner.
7. Email Address of Idea Owner 2: The email address of the member being assigned as a second Idea Owner.
8. Email Address of Idea Owner 3: The email address of the member being assigned as a third Idea Owner.

The template provides three columns for Email Address of Idea Owner by default. These columns can be increased or decreased depending on how many Idea Owners need to be assigned to an idea.

Import Confirmation

Once the Excel file has been successfully uploaded, the Community Administrator receives an email notification confirming the import. If an issue occurs during the import, the Community Administrator instead receives an email describing the error.

Exceptions

1. Invited Members Not Yet Joined: Members who have been invited to the community but have not yet joined can still be assigned as Idea Owners.

Frequently Asked Questions

Can Idea Owners be assigned to ideas outside the selected campaign?

No. The import is scoped to the campaign selected in the Select Campaign field, so only ideas within that campaign can have Idea Owners assigned through a given import.

Is there a limit to how many Idea Owners can be assigned to a single idea?

The template provides three Email Address of Idea Owner columns by default, but this number can be increased or decreased as needed, so the number of Idea Owners assignable to an idea is not fixed at three.

Does the assigned Idea Owner need to already be an active member of the community?

No. As noted in Exceptions above, members who have been invited to the community but have not yet joined can still be assigned as Idea Owners.

Does enabling Disable Notification stop the Community Administrator from receiving the import confirmation email?

No. Disable Notification only suppresses the notification emails sent to members being assigned as Idea Owners. The Community Administrator's own import confirmation or error email, described in Import Confirmation above, is sent regardless.
