We’re excited to announce the launch of New interface of Idea Management!
Building on the familiar community-level idea management, this powerful new feature unifies ideas from every community within a workspace into one seamless view.. Moderators get a unified dashboard on the Workspace tailored to their access levels, making idea management faster, easier, and more powerful than ever.


Idea Management feature grants Moderators an easy-to-use method of organizing, sorting, and tagging all ideas that have been submitted within all the communities within the Workspace.

Search Bar

Moderators can efficiently search for ideas by entering specific keywords or phrases that may appear in the idea title, description, or associated tags.


Community & Campaign Filter

A dedicated dropdown is provided for selecting either all Communities & Campaigns or specific ones. The idea table will then display the ideas corresponding to the chosen Communities and Campaigns in the filter. The selection of communities and campaigns available to the moderator will be determined by their access permissions within each community.


Advanced Filters

Advanced filters offer a wide range of options, enabling moderators to refine their search and focus on the specific ideas they wish to manage. Let us explore the various advanced filtering options available:

  • Keyword: Similar to the Search bar, keywords appearing in the idea title, description or tags can be entered. If a word or phrase is being searched in the Search bar, it will auto-populate here.
  • Community: Multiple communities can be selected. If communities are already selected on the main Idea management page, they will auto-populate here.
  • Campaign: Multiple campaigns can be selected. If campaigns are already selected on the main Idea management page, they will auto-populate here.
  • General
    • Groups: Community groups, as well as Workspace groups assigned to communities, can be selected.
  • Idea Properties
    • Idea Tag: Idea tags can be searched and selected using the checkbox.
    • Moderator Tag: Moderator tags can be searched and selected using the checkbox.
    • Idea Submitter: Idea submitters can be searched using their email address or username and selected using the checkbox.
    • Idea Submission Date: A Specific date or a date range can be selected.
    • Idea Number: Multiple idea numbers can be added at a time. Press the Enter key after each idea number to separate them.
    • Idea Owner: Idea owners can be searched using their email address or username and selected using the checkbox.
    • Idea Title: Ideas based on the keyword in their title can be searched.
    • Idea Description: Ideas based on the keyword from their description can be searched.
    • Idea Label: System label as well as Custom labels from all communities can be selected. Visibility of labels will depend on the permission set for those labels.
    • Vote Threshold: A vote threshold number can be added along with the Greater than or Less than variable to search for ideas with a higher or lower vote count.
    • Custom Fields: It allows filtering ideas based on the responses to Single-choice and Multiple-choice idea custom fields. Search for custom field using the name or field key.
  • System Labels: The ideas labeled as per system labels, such as Selected, Implemented, Pending, Recyclebin, Offtopic, Abuse Reported, and Duplicate Reported, can be selected.
  • Stage Properties
    • Stage Function: It allows searching for ideas as per the stage functions.
    • Stage: It allows searching for ideas as per the stage names.
  • Other
    • Member profile question: It allows the filtering of ideas based on the responses to Single-choice and Multiple-choice Member profile questions from both the workspace and all associated communities, as provided by the idea submitter. Search for a profile question using the name or field key.

AND/OR Conditions

When a filter has multiple values added to it, it will work as an OR condition where as when the same filter is added again in the advanced filters and search with other value, it will work as AND condition between both the filters.

Example for OR condition:

1. Select Filter type - Idea Tag and add tag1, tag2,tag3

2. Search result will show all ideas that have either tag1, tag2 or tag3


Example for AND condition:

1. Select Filter type - Idea Tag and add tag1

2. Now again select same Filter type - Idea Tag and add tag2

3. Search result will show only those ideas that have BOTH tags - tag1 and tag2


Saved Searches

Moderators can enhance their efficiency by saving frequently used queries from the Advanced Filters section. To do this, simply click on the Save Filter button located at the bottom of the interface and assign a name in the pop-up modal. This feature allows for quick access to commonly used searches, streamlining the idea management process.

The saved searches will be conveniently displayed in the top right corner of the Advanced Filter panel.

They can deleted or the saved search name can be edited as well using the Trashcan or Pencil icon respectively. It will appear when you hover on the search name.


The saved searches are exclusive to the individual moderator who created them and will not be accessible to other moderators.


Idea Table

By default, the Idea List is simply a table containing all the ideas in the Workspace, filtered and sorted by the Filters and permissions of the moderator. The idea list displays a list of 25 ideas per page (can be extended to 100 ideas per page) with the columns:

  • Title: The idea title (Cannot be hidden)

  • Idea Number: The number associated with the idea. It can be sorted in ascending or descending order

  • Date Submitted: The date the idea was submitted

  • Community: The name of the community the idea is from
  • Campaign: The name of campaign the idea is from

  • Net Votes: The net votes received by the idea. It can be sorted in ascending or descending order
  • Stage: The name and function of the stage the idea is in (the stage's type in brackets) 

  • Time in location: The length of time since the idea lasted changed community, campaign or stage. This option will appear as Date of Last Status Change for Workspace with a single community. It can be sorted in ascending or descending order

  • Time since last action: The time since any action was last taken on the idea. This option will appear as Date of Last Action for Workspace with a single community. It can be sorted in ascending or descending order

  • Submitter: The member who has submitted the idea.
  • Idea Owners: The members who are assigned as Idea Owners.

  • Idea Views: The number of views the idea has received. It can be sorted in ascending or descending order

The columns on the idea table can be configured in Column Adjustments.


Idea Actions (⋮ Vertical 3 dots)

The Idea Actions (⋮ Vertical 3 dots) are available for each idea to perform various actions.

  • Email: The selected idea can be emailed to members.

  • Contact Members (Contact idea authors/moderators/owners/idea team): You can send an email to the idea author or the moderators with the information you would like to convey directly from here.

  • Change Stage (To any stage within the funnel): This action allows you to change the stage of the idea.

  • Follow/Unfollow: The Follow/unfollow option will appear for the idea, depending on whether the idea is being followed or not.

  • Assign Owner(s): This action allows to assign owners to the idea.

  • Print Idea: This action allows printing the ideas.

  • Disable Commenting: This action allows to disable comments for the selected idea.

  • Move: The selected idea can be moved to a different campaign to a specific stage of that campaign.

  • Tag Selected: Allows adding tags like predefined or moderator tags.

  • Delete Idea: This action allows to delete ideas.

  • Edit: This action allows editing the idea.

  • Clone: This action allows you to copy the entire idea to a new community, campaign, and also select the specific stage to move the idea to.

  • Label: This action allows to add custom labels to the idea.

If an idea is pending approval, the following message will appear above the moderate idea options. The moderator can approve the idea from there itself by clicking on the Approve this idea link.


Column Adjustments

This functionality can be accessed by clicking on the tuning buttons located on the far right. It enables the moderator to rearrange the columns within the Idea Management table.

Simply drag and drop desired columns into the Shown section to configure the Idea Management columns or rearrange. A minimum of 1 column needs to be set for the idea table in any desired order. The available columns are Title, Community, Idea Number, Date Submitted, Campaign, Stage, Date of Last Status Change, Date of Last Action, Submitters, Idea Owners, Views, Net Votes, Assessment, Build Team Members, Estimated ROI (%), Estimated Avg Value, Estimated High Value, Estimated Medium Value, Estimated Low Value, Estimated Avg Cost, Estimated High Cost, Estimated Medium Cost, Estimated Low Cost, Value Score, Cost Score, Impact Score, No of Funders, Fund Target and Fund Raised.

Moderators can restore the default columns by clicking on the Restore Default button.


Warning Thresholds

This functionality can be accessed by clicking on the customization tuning buttons located on the far right. It enables the community to specify the number of days an idea can remain inactive before it is highlighted with a warning color on the management page. As the moderator hovers over the ideas, the system will display the number of days since the idea's last activity. The use of warning colors serves to draw the moderator's attention to ideas that have not received any action for the specified duration.


Bulk Actions

When multiple ideas are selected, additional bulk actions become available for execution. It is important to note that the options for bulk actions may vary depending on whether the selected ideas originate from the same community or multiple communities.

Single Community Bulk Actions

For a workspace with a single community or when ideas from a single community are selected in Idea Management, the following Bulk actions will be available:

Select All: Selects all the ideas from the Idea Management filter result

Clear: Appears when all ideas are selected.

Move: Allows moving the idea to another campaign and/or stage.

Set Labels: Allows setting custom labels to the selected ideas. Select the label from the appearing list to assign it to the ideas.

Assign Tag: Allows setting a Regular Tag or Moderator Tag for the selected ideas. Selecting the type of tag will show a modal to enter tags for assignment.


Clicking on More options (⋯ Horizontal 3 dots) will show some additional bulk actions:

Follow All: The moderator will follow all the selected ideas and receive email notifications for their activity.

Unfollow All: The moderator will unfollow all the selected ideas if being followed.

Assign Owner(s): Assigns an idea owner or multiple idea owners to the selected ideas. Select the idea owners from the dropdown in the pop-up modal and type an assignment message (optional) for them to assign them. Note: The selected ideas need to be from the same campaign to perform this action.

Unassign Owner(s): Allows unassigning idea owners from the selected ideas. Select the ideas owners from the dropdown in the pop-up modal to unassign them.

Print Ideas: Print all the selected ideas in bulk.

Disable Commenting: Disables adding new comments for the selected ideas.

Delete Idea: Allows to deletion of ideas in bulk. If the ideas are active, they will be moved to the Recycle bin, but if they are already in Recycle bin, they will be deleted permanently.

Link Selected: Allows linking all the selected ideas to each other and marking one as the Parent idea.

Export: The selected ideas will be exported. The exported file will be available in the Export Library. The fields available in the Excel sheet will be Idea number, Idea URL, Title, Description, Date Submitted (Standard time stamp), Campaign, Stage, Time in Location, Time since last action, Tags, Moderator Tags, Submitter(s), Owner(s), Net Vote, Views and Idea Custom fields.

Multiple Communities Bulk Actions

When ideas from multiple communities are selected in Idea Management, the following Bulk actions will be available: Select All, Clear and the More options will contain Follow All, Unfollow All, Print Ideas, Disable Commenting, Delete Idea and Export.


Idea Details

Selecting the idea title will open a side panel displaying the comprehensive details of the idea. This section mirrors the layout of the Idea details page found on the homepage, providing all information regarding the idea.

Clicking on the Show Revision history link within the Idea details panel will open up a modal showing the following details:

Date, Moved By (Email address), Move to Stage, Stage ID, Date of Stage Change, Days in Location


Export Library

All the exported data resides in this Export Library. It also shows the hours/days/months it was exported.


Analyze Text

This feature analyzes text within ideas to produce a list of common topics of discussion. It compiles a collection of relatively-unique words/tag counts for all selected ideas.

Idea Visibility Settings

The Idea Visibility Settings feature allows moderators to specify whether to include or exclude Recycled, Off-Topic, and Reserved Ideas, as well as to determine the Display dates in the Idea Table (showing exact dates rather than rounded days).
