Idea Portfolio Advanced Filters

What are Idea Portfolio Advanced Filters?
Idea Portfolio Advanced Filters are a set of configurable search conditions that let a Moderator narrow large volumes of ideas down to a specific subset based on community, campaign, idea properties, stage data, and member responses.

Advanced Filters give the Moderator an extensive toolkit for navigating large volumes of ideas efficiently. The filters are designed to streamline sorting, categorizing, and targeting specific ideas so they can be moderated with ease.

Role Permissions

1. Community Moderator and Campaign Moderator: Can access and apply Idea Portfolio Advanced Filters to search, sort, and target ideas.
2. Workspace and Community Administrator: Can also access Idea Portfolio.

Community

Selecting the Community filter allows selecting a single or multiple communities from the workspace for search with a variable Equals or Does not equal that defines if the result should include ideas from the selected communities (Equals) or exclude the selected community ideas (Does not equal).

Campaign

Selecting the Campaign filter allows to select a single or multiple campaigns from multiple communities with variable Equals or Does not equal that defines if the result should include ideas from the selected campaigns (Equals) or exclude the selected campaign ideas (Does not equal).

Groups

Community groups as well as Workspace groups assigned to communities, can be selected using the Groups option from the dropdown with variable Equals, Does not equal, Defined or Not defined.This defines if the result should include ideas from the selected groups (Equals), exclude the selected group ideas (Does not equal), show ideas of members who are assigned to any group (Defined) or show ideas of members who are not assigned any group (Not defined).

Idea Properties

There are multiple Idea Properties, as shown below, to filter ideas.

• Idea Submission Date: A Specific date or a date range can be selected using the date picker to filter the ideas submitted during that time with variables Equals, Does not equal, After, Before, On or after, and On or before.
• Idea Title: Ideas can be searched by entering a keyword from their title in the text field with variables Equals, Does not equal, Starts with, Ends with, Contains, Does not start with, Does not end with, and Does not contain.
• Idea Description: Ideas can be searched by entering a keyword from their description in the text field with variables Equals, Does not equal, Starts with, Ends with, Contains, Does not start with, Does not end with, and Does not contain.
• Idea Number: Multiple idea numbers can be added at a time in the text box for this filter. Press the Enter key after each idea number to separate them. They can be searched with variables Equals, Does not equal, Greater than, Less than, Greater than or equal to, and Less than or equal to.
• Idea Owner: Idea owners can be searched by typing their email address or username in the search field and then selecting members using the checkbox with variable Equals, Does not equal, Defined or Not defined.
• Submitter: Idea submitters can be searched by typing their email address or username in the search field and then selecting members using the checkbox with variable Equals or Does not equal
• Idea Label: Multiple Custom labels from all workspace communities can be selected using the checkbox. Visibility of labels will depend on the permission set for those labels with variable Equals, Does not equal, Defined or Not defined.
• System Label: The ideas labelled as per system labels, such as Selected, Implemented, Pending, Recycle bin, Off-topic, Abuse Reported, and Duplicate Reported, can be selected using the checkbox from the dropdown with variable Equals, Does not equal, Defined or Not defined.
• Tag: Idea tags can be searched and selected using the checkbox with variable Equals, Does not equal, Defined or Not defined.
• Moderator Tag: Moderator tags can be searched and selected using the checkbox with variable Equals, Does not equal, Defined or Not defined.
• Number of Comments: Ideas can be searched based on the number of comments they have by entering a number in the text field with variable Equals, Greater than, Less than, Greater than or equal to, and Less than or equal to.
• Number of Views: Ideas can be searched based on the number of views they receive by entering a number in the text field with variable Equals, Greater than, Less than, Greater than or equal to, and Less than or equal to.
• Time Since Last Action: Ideas can be searched by entering the number of days since its last action by entering a number in the text field with variable Equals, Greater than, Less than, Greater than or equal to, and Less than or equal to.
• Time in Location: Ideas can be searched by entering the number of days it has been in the same location by entering a number in the text field with variable Equals, Greater than, Less than, Greater than or equal to, and Less than or equal to.
• Sentiment: Ideas can be searched by entering the sentiment from the checkbox with variable Equals and Does not Equal.
• Duplicate: Ideas can be searched by entering the sentiment from the checkbox with variable Yes, No, Equals, Greater than, Less than, Greater than or equal to, and Less than or equal to.

Stage Properties

There are multiple Stage Properties, as shown below, to filter ideas.

• Stage: It allows searching for ideas as per the stage names and selecting them using the checkbox with variable Equals or Does not equal. The dropdown will show the Stage name along with its stage function.
• Stage Function: It allows searching for ideas as per the stage functions and selecting using the checkbox with variable Equals, Does not equal, Defined or Not defined. Example: Ideas across all communities with stage function - Ideate can be searched.
• Pending: All Pending ideas can be filtered with a variable Yes or No.
• Recycle Bin: All Recycle bin ideas can be filtered with a variable Yes or No.
• Off Topic: All Off-Topic ideas can be filtered with a variable Yes or No.

Stage Score

• Vote: Ideas can be searched by the number of net votes it has received with a variable Equals, Greater than, Less than, Greater than or equal to, and Less than or equal to.
• Team Members: Ideas can be searched by the number of team members it has with a variable Equals, Greater than, Less than, Greater than or equal to, Less than or equal to, Defined or Not defined.
• Assessment Score: Ideas can be searched by the assessment score it has received with a variable Equals, Greater than, Less than, Greater than or equal to, Less than or equal to, Defined or Not defined.

Estimate

Ideas can be searched by its Estimate stage's ROI, Value (Total), Specific value (High, Medium or Low), Cost (Total) or Specific cost (High, Medium or Low) with a variable Equals, Greater than, Less than, Greater than or equal to, Less than or equal to, Defined or Not defined.

Review

Ideas can be searched by its Review stage's Value Score, Cost Score or Impact Score with a variable Equals, Greater than, Less than, Greater than or equal to, Less than or equal to, Defined or Not defined.

Fund

Ideas can be searched by its Fund stage's Target, Funds Raised and No. of funders with a variable Equals, Greater than, Less than, Greater than or equal to, Less than or equal to, Defined or Not defined.

Idea Attachment

• File Name: The file names for the idea attachments can be searched by entering keywords in the text field with variables Equals, Does not equal, Starts with, Ends with, Contains, Does not start with, Does not end with, and Does not contain.
• File Type: The file types for the idea attachments can be searched by selecting file type using a checkbox with variables Equals or Does not equal. Available file types are Video, Image, Audio, Font, Icon or Document.
• File Extension: The file extensions for the idea attachments can be searched by selecting extension type using a checkbox with variables Equals or Does not equal. Available file extensions are jpg, jpeg, png, gif, svg, webp, pdf, doc, docx, txt, xls, xlsx, mp4, mov, flv, wmv, zip, csv, ppt, pptx, bmp, webm, lz4, mpeg and m4a.
• Idea Attachment: The ideas can be filtered using this option to determine whether the idea has an idea attachment or not, with a variable Defined or Not defined.

Idea Fields

Single-choice or multiple-choice Idea custom fields can be used to filter the ideas. The idea fields are listed in groups per community. Only 1 idea custom field can be selected using a checkbox at a time with single or multiple answer options for it using the variable Equals, Does not equal, Defined or Not defined.

Member Fields

Member profile questions can be used to filter ideas of the members who have answered those member profile questions. It allows filtering based on the responses to Single-choice and Multiple-choice Member profile questions by the idea submitter. The member profile questions are listed in groups as per Workspace, as well as each community. Only 1 member profile question can be selected using a checkbox at a time, with single or multiple answer options for it using the variable Equals, Does not equal, Defined or Not defined.

AND/OR Conditions

The filters can be used in combination to the conditions AND, OR or both of them to easily look for the ideas.

Example: To search for ideas submitted by members who have answered the member profile question - Department with answers Support or HR OR Designation is defined AND where Campaign is not equal to 3 particular campaigns.

Frequently Asked Questions

Can Community and Campaign filters be selected together in the same search?

Yes. The Community filter and the Campaign filter are independent filter options and can be combined, along with any other Advanced Filter, using AND/OR Conditions.

What is the difference between the Defined and Not defined variables?

Defined returns ideas where the selected field, group, or tag has a value assigned; Not defined returns ideas where it does not. These variables appear on filters such as Groups, Idea Label, System Label, Tag, Moderator Tag, Idea Fields, and Member Fields.

Can more than one idea custom field or member profile question be filtered at the same time?

Not within a single Idea Fields or Member Fields filter instance — only one idea custom field or one member profile question can be selected per instance. Multiple instances of these filters can be added and combined using AND/OR Conditions to filter on more than one field or question at once.

How are multiple idea numbers entered in the Idea Number filter?

Idea numbers are entered into the text box one at a time, pressing Enter after each number to separate them, before applying a variable such as Equals or Greater than.
