What are Idea Inactivity Emails?
Idea Inactivity Emails are reminder notifications, configured by a Community Administrator, that are sent to selected recipients when an idea has had no activity for a specified number of days.

The Idea Inactivity Email serves as a reminder that an idea has gone quiet, encouraging recipients to revisit and re-engage with it. A Community Administrator can configure multiple inactivity rules, each based on the number of inactive days, a specific campaign, a specific stage, the recipient group, and the message content. Along with the email itself, recipients also see the notification appear in their Notification Dropdown.

Role Permissions

  1. Community & Custom Administrator: Creates, edits, clones, and deletes Idea Inactivity Email rules, including each rule's inactive days threshold, campaign and stage scope, recipient group, message content, and Enable switch.
  2. Idea Author, Idea Owner, Teams, Moderators, Assessors, Reviewers: Receive Idea Inactivity Emails when selected as a rule's recipient group, and can opt out of the notification individually from Profile >> Settings >> Notification Settings.


Idea Inactivity Rule Setup

Selecting + Create Rule opens a modal for configuring a new Idea Inactivity Email rule.

The first screen of the modal includes the following fields:

  1. Rule Name: The desired name for the rule.
  2. Inactive Days Threshold: The number of days of inactivity after which the Community Administrator wishes to trigger the email.
  3. Select Campaign(s): The campaign or campaigns whose ideas should trigger the inactivity email when selected from the dropdown. An All Campaigns option is also available.
  4. Select Stage(s): The stage or stages whose ideas should trigger the email for inactivity.
  5. Enable: Switching this on activates the rule.

Selecting the next screen sets the recipients and email text for the rule.

  1. Recipients: The recipient group for the email, chosen from Idea Author, Idea Owner, Teams, Moderators, Assessors, and Reviewers.
  2. Subject: The subject line for the inactivity email.
  3. Language: The default language of the inactivity email.
  4. Message: The body content of the email, editable using rich text formatting options.
  5. Button Label: The text displayed on the button that redirects the recipient to the inactive idea.

Selecting the next page displays a preview of the email before the rule setup is finished.

The Actions column includes a More option (three dots) beside each rule, offering the following:

  1. Edit: Opens the rule for editing at any time.
  2. Clone: Duplicates the selected Idea Inactivity Email rule.
  3. Delete: Removes the rule after the Community Administrator confirms the deletion.

Email and In-app Notification

Idea Inactivity Emails are delivered to the configured recipients both as an email and as an in-app notification within the Notification Dropdown.

A member can opt out of receiving Idea Inactivity Emails from Profile >> Settings >> Notification Settings, by selecting the Bell icon for the desired community.

Exceptions

  1. Monthly Frequency Limit: A member receives no more than one Idea Inactivity Email per month for the same idea, regardless of how many separate rules match that idea.

How many Idea Inactivity Emails can a member receive for the same idea in one month?

No more than one. See Exceptions above for the monthly frequency limit, which applies regardless of how many separate rules match the idea.

Who can create Idea Inactivity Email rules?

A Community Administrator creates, edits, clones, and deletes Idea Inactivity Email rules.

Can a member opt out of receiving Idea Inactivity Emails?

Yes. A member can opt out from Profile >> Settings >> Notification Settings by selecting the Bell icon for the desired community.

What happens when the Delete option is selected for a rule?

The rule is removed, but only after the Community Administrator confirms the deletion when prompted.

Can an Idea Inactivity Email rule be limited to specific campaigns or stages?

Yes. Each rule can be scoped to one or more campaigns, or to All Campaigns, and to one or more specific stages whose ideas should trigger the email.
