Historical Snapshot Report

View how data appeared at a selected point in time with configurable snapshots, grouping, and trend visualizations.

IdeaScale has introduced Historical Snapshot Reports, a new report type in the Reporting dashboard. This feature enables innovation managers and administrators to look back in time and see exactly how ideas were distributed across workflow stages at any point in the past. By capturing point-in-time snapshots at configurable intervals, Historical Snapshot Reports reveal trends in pipeline health, surface stage-level bottlenecks, and make it easy to measure throughput improvements over time.

The customizable elements in the reports are as follows: 

1. Visualization: You could choose from the various report types like line chart, bar chart  and data tables.

2. Time Frame: A defined time frame is required to track data across the reporting dashboard. When configuring the report, you can choose from the following time frame options:

  • Last 7 days
  • Last 30 days
  • Last 90 days
  • Last 180 days
  • Last 365 days
  • Custom Range: Custom range will allow the user to select a time frame from a calendar

3. Frequency:

You can select your preferred reporting frequency from the dropdown:

  • Daily

  • Weekly

  • Monthly

  • Quarterly

  • Yearly

4. Display by: The data is always organized by the snapshot period first.

5. Then by: You can choose to group results by Stages or by Workflow, and further refine the view by a specific workflow or individual stage.

Workflow: For each snapshot period, the dropdown will list all workflows available in the community.

Stages: For each snapshot period, the dropdown will list all stages available in the community. Additional options appear to include System stages like Pending, Reserved, and Off Topic ideas in the report.

6. Visible Columns: This provides you with data sets that can be selected to be displayed in columns.

These are following data sets available:

  • Idea Count: Number of ideas present in a stage during the snapshot period.

  • Stage Duration (Days): Total days all ideas collectively spent in a stage.

     

  • Avg. Days in Stage: Average time an idea spends in a stage (total duration divided by idea count).

     

  • % of Total Idea Count: Proportion of ideas in the stage relative to the total across all stages.

  • Change from Previous Period: Difference in metric value between the current and prior snapshot period.


7. Show Summary: Appends a summary row at the end of each grouped section for at-a-glance totals and averages.


8. Table Layout: Allows you to Switch between Vertical (default) and Horizontal table orientations for flexible presentation.


Filters

Reports can be filtered using our new filtering system to gain even deeper insights into your data. Filter will be selectable based on the data category that is selected when building your report.

The data filters available are as follows:

  • Community - Include ideas from specific community only.

  • Stage Function – Filter results to specific stage types, which is especially useful when analyzing communities with multiple workflows.
  •  

    Campaign - Include ideas from specific campaigns only.

  • Average Days – Apply a numeric filter using comparison operators (greater than, less than, etc.).

     

  • Percentage of Total – Use a numeric filter to select stages based on their share of the overall total.
  • Change from Previous – Apply a numeric filter to identify stages with significant period-over-period changes.

     

Variable: The variables are Equals, Does not equal, Starts with, Ends with, Contains, Does not start with, Does not end with, Does not contain, Defined or Undefined.

Type: Under Type field enter the text to compare with. The fields with answer options also provide a dropdown to choose from.

And/Or option: The OR and AND options can be used to filter out the data.


The filters can also be saved to be used later. The saved filter can be retrieved from the top right corner.
