Setting up 3rd Party SMTP and Digest emails 

Path: Community Settings >> Email Settings >> General >> General

The General settings allow administrators to configure key community email parameters, including the From name, From email address, optional third-party SMTP service, and a custom email banner, ensuring that all outgoing messages align with the organizationโ€™s branding and technical delivery requirements.

General

1. From Email Address

All emails are automatically sent from โ€˜noreply@ideascale.comโ€™ (this is not a monitored email inbox). Admin may choose to add a custom email address for all the emails by adding it to this field. 

Note: This will require setting up '3rd Party SMTP Services' with the help of your IT department to ensure delivery of emails.

2. Bounce Email Address: Fill in the desired email address where bounced emails will get sent to.

3. From Name: This field can be filled with a specific name instead of the default (community name), which will appear as the sender in all emails sent from the community.

4. 3rd Party SMTP Service: In the case of customized 'From Email address', this setting needs to be set up by switching the button to 'On'. It opens up the options to connect to SMTP via SSL. Specify the SMTP Host Server, SMTP Port, SMTP Username, and the Password.

We can also validate SMTP by using the Validate SMTP button which will help to determine if the information provided is correct and if it functions properly. In case there is an error it will provide with the View SMTP Error link.

Note: Make sure all required fields like SMTP Host Server, SMTP Port, SMTP Username, and Password are specified correctly when "3rd Party SMTP Service" is enabled in your workspace. If these fields are left empty, it will NOT send any notification emails from IdeaScale to any user, eg: Password Reset emails, invitation emails, notifications, etc.


5. Custom Email Banner: A custom email banner can be set instead of the default IdeaScale one by uploading the custom banner or by its selection from the custom email banner dropdown or you can simply drag and drop the file into the area.

The uploaded images can be resized and readjusted using the resizer. Once done click on the Save button.

Deliverability Test

In order to ensure the emails for the community are being delivered, the admin may have to make sure the IdeaScale domain is added to their SPF records. To confirm the correct setup Community admin can click on the Deliverability Test switch and wait for the results that will be visible in the Email Deliver Reports under Community Settings >> Emails Settings >> Email Logs

Email Subscribers

The Email Subscribers section provides a dashboard view of how many community members are subscribed to each available email frequency option - Daily, Weekly, Real-time, or No email. This allows administrators to quickly understand overall subscription behavior, monitor engagement trends, and make informed decisions about adjusting communication frequency or encouraging members to opt in to specific notification cadences.
