Details on how to auto approve members to the workspace

What is Auto Approval?
Auto Approval is a workspace security setting under Access Control that automatically grants or restricts workspace access based on a member's email domain, working alongside the Require Member Approval switch and Approved IPs restrictions.

The Workspace Administrator can enable or disable Require Member Approval for the workspace. Switching this setting on or off dynamically displays the corresponding panel, where the Workspace Administrator can configure additional actions related to the Auto-Approved Domain list.

Role Permissions

  1. Workspace Administrator: Enables or disables Require Member Approval, manages the Auto-Approved Domain list, and configures Approved IPs restrictions.


When Require Member Approval Is Enabled

  1. Rule for New Signups: All new signups are held in a queue for Moderator review before being granted access.
  2. Auto-Approved Domain List: Any member registering with a domain included in the Auto-Approved Domain list is granted access to the workspace. Any member signing up from a non-approved domain requires manual Moderator approval.

Selecting the verify my email link in the email prompts the member to enter the code sent to their email address. Once verified, the member is redirected to the login page. Upon logging in, the member is required to set up a workspace profile.

3. Optional Admin Action: When an Auto-Approved Domain list is added, the Workspace Administrator sees an option labeled Update existing active members outside approved domains to Pending. Selecting this option sweeps the current member list and moves already active members who do not match the trusted domains back into the Pending state, requiring Moderators to re-approve them.

When Require Member Approval Is Disabled

  1. Rule for New Signups: New signups no longer require Moderator approval and can access the workspace instantly after verifying their email address.
  2. Auto-Approved Domain List: Any member registering with a domain included in the Auto-Approved Domain list is granted access to the workspace. However, because the Allow signups from specified domains switch acts as a restriction list, any member attempting to register with an email domain outside this list is automatically rejected.

Any future signup not matching the Auto-Approved Domain list is blocked from signing up and sees an access prohibition message.

3. Optional Admin Action: When an Auto-Approved Domain list is active under this mode, the Workspace Administrator sees an action labeled "Update existing active members outside allowed domains to Banned." Selecting this action immediately bans any currently active members whose email domains do not match the new allowlist.


Approved IPs

IP-based access restriction allows the Workspace Administrator to control access to the workspace based on IP (Internet Protocol) address. Only members accessing the workspace from the defined IP addresses are permitted to view and participate in the workspace.


Frequently Asked Questions

Does a member need Moderator approval if their email domain is on the Auto-Approved Domain list?

No. When Require Member Approval is enabled, a member registering with a domain on the Auto-Approved Domain list is granted access automatically and bypasses the Moderator review queue. Only members from non-approved domains require manual Moderator approval.

Does the Auto-Approved Domain list work the same way whether Require Member Approval is enabled or disabled?

No. When Require Member Approval is enabled, the Auto-Approved Domain list functions as an approval bypass for listed domains, while unlisted domains still queue for Moderator review. When Require Member Approval is disabled, the Allow signups from specified domains switch turns the same list into a restriction: only listed domains can register, and every other domain is automatically rejected.

Can changes to the Auto-Approved Domain list affect members who are already active in the workspace?

Yes. Depending on whether Require Member Approval is enabled or disabled, the Workspace Administrator can choose to move existing active members outside the approved domains back to Pending status, or ban existing active members outside the allowed domains, using the corresponding Optional Admin Action.

Does a member need to verify their email address after being automatically approved through a listed domain?

Yes. A member approved through the Auto-Approved Domain list receives a verification email containing a code, and is redirected to the login page and prompted to set up a workspace profile once verified.

What does Approved IPs control?

Approved IPs restrict workspace access by IP (Internet Protocol) address. Only members accessing the workspace from the IP addresses defined in this section are permitted to view and participate in the workspace.
